What makes a request easy to scope

You do not need trade vocabulary. Plain descriptions work fine, and a few details save a round of back-and-forth:

  • Whether it is a home driveway, a private road, or a commercial lot, and roughly how large it is.
  • What you see: holes, cracking that looks like a web, faded lines, water that sits after rain, crumbling edges.
  • How long the problem has been there and whether it got worse after a storm or a dry spell.
  • Any timing constraint, such as a business that cannot close during the week or an HOA deadline.
  • Photos taken from a standing height plus one wide shot that shows the whole surface.

What happens after you send it

The contractor looks over your note and gets in touch to arrange a visit. Asphalt is priced on what is under it and around it, so nobody can give an honest number from a photo alone. On site, the contractor checks how the base is holding up over the clay, where water goes, how traffic uses the surface and what access looks like for equipment. The written proposal that follows spells out scope, materials, sequence and cost.
